Who we are

Hedgerow Print is an independent printer based near Exeter that supplies high quality lithographic print and offers a range of digital and large format printing systems with excellent finishing and trustworthy delivery services. Our friendly and approachable staff are happy to talk you through the print process. In providing our services to you we process personal data about our staff, certain of our customers, and may occasionally handle our customers’ mailing lists. We are a “Data Controller” for the purposes of the EU General Data Protection Regulation 2016/679 (“Data Protection Law”) but may also act as a Data Processor on behalf of our customers. We are registered as a Data Controller with the Information Commissioner’s Office and are committed to protect your personal data and make every effort to ensure that it is processed in a fair, open and transparent manner.

What information we collect

When we are contacted by a customer we will record their name, organisation name, address and relevant phone and email contact details. If you contact us via our website or by email we may also collect some technical information about the system you used; this information might contain data that could identify you.

As an employer we will ask for some basic personal data when someone applies to work for us, and will require further details, including full name, home address, date of birth, National Insurance number and any other personal data, including any health-related data which may be relevant to the nature of our work, that is needed for our routine administration.

How we use your personal data

We use customer personal data only to provide a means of contacting the customer about the work they request, to deliver the finished product and to invoice them. The data is stored onsite in our management information system, and certain data may also be stored in our accounts system. We retain this data electronically, also a paper copy of the job sheet and a copy of the finished print work, for up to five years.

Website information forms are forwarded to us by email and all emails, including any that may contain personal data, remain on our systems for at least five years. The legal basis for this processing is the contract to undertake the work requested. We may, at times, undertake some marketing to current and recent customers using personal data that we hold and the legal basis of legitimate interest.

Our customers may contract us to provide a postal mail merge or postal mailing service for them, supplying us with their mailing list for this purpose. We may subcontract certain of these functions to another business. We will ensure that all personal data we process on behalf of another organisation is handled with due care and security by ourselves and our subcontractors and is securely deleted immediately after use.

At all times we ask that our customers transfer personal data, in the form of mailing lists, to us only by using the secure “WeTransfer” file transfer system via the “Upload Artwork” button on our website. This will ensure that the uploaded files are encrypted as they leave our customer until they are downloaded to our systems. We will use similar systems to transfer files to any subcontractor.

Technical information containing personal data received in emails or from our website will only be used for statistical purposes and not deliberately to track or identify a person.

All staff personal data is stored in our paper files and our accounts system. We use this data principally to provide payroll and pension services. We delete the personal data of staff who have left us three years after the year they leave.

We will not pass personal data to any other organisation except to undertake marketing on our behalf, or in fulfilment of our legal duties as an employer.
